1Go to app.plenivo.nl in your browser (or the address your company uses).
2Enter your username — usually your first name, a dot and your surname, for example jan.devries.
3Enter the password you received from your administrator, and click Inloggen.
4After your first login, change your password via My Profile — choose something only you know, at least 8 characters.
You install Plenivo straight from the browser — no Play Store or App Store needed, and always automatically up to date:
1Android: open app.plenivo.nl in Chrome → tap the three dots top right → "Toevoegen aan startscherm".
2iPhone/iPad: open app.plenivo.nl in Safari → tap the share icon (square with arrow) → "Zet op beginscherm".
3Plenivo now sits as an app icon among your other apps.
Phone — you see the mobile app with My day, Team, Week and Profile (for technicians and inspectors). Tablet, laptop or desktop — you see the full planning environment. Plenivo works in all modern browsers: Chrome, Firefox, Edge and Safari (recommended: Chrome or Edge).
1Open Schedule en klik rechtsboven op "+ Inplannen".
2Fill in the project number, employee, date and hours. In the location field you can simply type a street name — Plenivo shows real Dutch addresses to pick from.
3Several days in a row? Use the "Herhalen"option, e.g. "Working week (Mon-Fri)" — weekends are skipped automatically.
4Click Opslaan. The employee automatically receives a message.
Dragging works too: pick up an existing job and drag it to another day or employee. Via the detail popup you can also cut jobs and paste them elsewhere.
Click "+ Inplannen" and choose the tab "Verlof / Afwezigheid". Choose the right type (statutory leave, sick, etc.) and fill in the date and hours. Leave does not count as worked hours in reporting.
Orange next to an employee betekent meer dan 8 uur op één dag ingepland (overwerk) — u ziet ook een badge zoals "+2u OT". Boven de 24 uur wordt inplannen geblokkeerd. Verlof kleurt groen, weekenden grijs. Statuskleuren door heel Plenivo: grijs = concept, blauw = onderweg/bezig, groen = gereed of betaald, goud = open, rood = actie nodig.
1Go to Projecten → "+ Nieuw project". A wizard guides you in three steps through project, client and planning & budget.
2Link a client from Relatiebeheer — contact details fill in automatically.
3Open a project via "Open project" for five tabs: Gegevens, Werkpakketten, Planning, Materialen and Projectbewaking.
4Op Projectbewaking you see budget, planned and actual hours with progress bars — with a warning as soon as you exceed budget.
1Go to Offertes → new quote. Fill in the client details (or pick a relation).
2Add lines: search a rate or material — recently used items appear on top. Quantity and price calculate themselves, including the VAT total.
3Click Opslaan en daarna op Verstuur — the client receives the quote as a PDF by email, with a link to sign digitally in the client portal.
Accidentally closed the window? No worries: Plenivo saves your draft automatically and asks on reopening whether you want to continue.
1Open a project → tab Werkpakketten. Optionally create phases first (e.g. shell, finishing).
2Add a work package per discipline (e.g. plumber) with the subcontractor’s name and email address.
3Click Uitnodigen — the subcontractor gets a secure link and needs no account. There they confirm the period, or make a counter-proposal you can accept or reject.
4Comparing prices? Invite multiple bidders per package. You see the amounts side by side (with a PDF per bid) and award with one click — the other bidders are notified automatically.
5Turn the € Betaaldswitch on once you have paid the subcontractor.
1Go to Werkbonfacturen. Every completed work order is ready with labour, materials and the quote amount if applicable.
2Check or edit the invoice, and click Verstuur — the client receives a professional PDF by email.
3For accounting: download the UBLversion — every Dutch accounting package imports it directly.
4Not paid yet? With the Herinneringbutton sends a polite payment reminder.
Your clients can sign quotes, follow projects and chat with you via portaal.plenivo.nl — logging in works without a password, via a secure email link. You enable portal access per relation in Relatiebeheer; which projects are visible you decide per project. Client messages appear for you under Klantberichten, in a familiar chat view.
Onder Rapportage you find the hours overview with occupancy chart (with checkboxes to include leave or normalise to contract hours) and the period report with hours per employee and per project. Export to Excel via the CSV button. On the Live kaart you see where your technicians are, with status colours and automatic breakdown alerts. Tip: click a column header in any table to sort.
Click "✉ Bericht" in the planning bar, choose the recipient(s) and write your message. The employee sees it instantly in the app, with a badge on the messages tab. Anyone scheduled for today or tomorrow gets an automatic message anyway.
My day shows your work for today: project name, description, times and location — with a Navigeerbutton that opens Google Maps or Apple Maps directly. For other days use the Weektab (browse with the arrows or the date picker). Colleagues' schedules are under Team.
For work that wasn’t planned in advance — an urgent job or extra task on site — you create a work order yourself without a planned task. In the app choose + Nieuwe werkbon, select or type the client and location, then follow the normal steps: Vertrek en Aankomst logging, adding materials and photos, and having the client sign. The work order instantly appears at the office among completed orders and counts in the administration as normal. Don’t see the button? Then this feature is off for your environment — your administrator can enable it.
1Open the job in the app and tap Departed when you leave — travel time runs automatically.
2On site: tap Gestart. Na afloop: Completed. Travel and working time are already calculated.
3Briefly describe what you did, and add any used materials (quantities — Plenivo calculates the prices).
4Take photos of the work and have the client sign digitally on your screen.
5Send the work order. Your planner sees the status instantly, and the order is ready to be invoiced.
Tap the tab Messages at the bottom — new messages have a red dot. You can also send messages to your planner, and reply to any message. Turn on push notifications via Profile → Notifications, and you’ll also get an alert when the app is closed.
1Go to Organisatiebeheer → Medewerkers en klik op "+ Medewerker Toevoegen".
2Fill in name, username, password (min. 8 characters), department and role. Also fill in the contract hours per day (default 8) — so a part-timer counts fairly in occupancy reporting. The home address is optional and used for route calculation.
3The employee can log in immediately and change their own password.
Resetting a password: click the key button next to the employee and set a new password. Deactivating: sets the status to inactive — logging in is no longer possible, but historical planning is preserved.
Technician/Inspector — only view own schedule and fill in work orders. Planner — edit planning and view employees. Management — plus hours and reports. Administrator — full management including employees and roles. An overview is at the bottom of the Medewerkers page.
In the sidebar, click 2FA Instellen and scan the QR code with an authenticator app (e.g. Google Authenticator or Microsoft Authenticator). From then on you enter a 6-digit code alongside your password when logging in. Strongly recommended for anyone with admin rights.
In the admin portal you see under Activiteitenlog all logins, changes and password resets with timestamps. Your data is backed up automatically every day and kept for 30 days — you don’t need to do anything. After 8 hours of inactivity you are logged out automatically (with a warning 5 minutes before) — this protects your account.
On the login page, click "Wachtwoord vergeten" and enter your username or private email address — you receive a reset link. No private email set? Ask your administrator for a manual reset via the Medewerkers page.
Typ minimaal three characters of the street name, preferably with house number ("Dorpsstraat 12"). Suggestions come straight from the official Dutch address data. For a relation, postcode and city fill automatically once you pick an address.
Open "Nieuwe offerte" — Plenivo then asks whether you want to restore the saved draft. Drafts are kept locally in your browser until you save the quote.
Click the CSVbutton top right in the planning or reports. The file opens in Excel or Google Sheets. Large lists (projects, quotes, invoices) paginate with the bar at the bottom — choose 10, 25, 50 or 100 rows per page.
Open the relation in Relatiebeheer en zet portal access on. Decide per project (Gegevens tab) whether it’s visible in the portal. The client logs in via an email link — no password.
Hij komt op een beveiligde pagina (zonder account) waar hij de periode kan bevestigen, een tegenvoorstel kan doen, een prijsopgave kan indienen en het werk gereed kan melden. / opens the search field on the current page · N creates a new item · Esc closes an open window · ? shows this overview in the app. And: click a column header to sort any table.
That’s deliberate — so you see at a glance what needs doing right now. For other days use the Week tab, which browses a full year forwards and back.

1Refresh the page with Ctrl+F5 (Windows) of Cmd+Shift+R (Mac).
2Close all Plenivo tabs completely and open the app again.
3If that doesn’t help: clear the website data for app.plenivo.nl in your browser settings (on iPad: Settings → Safari → Advanced → Website Data) and log in again.
4If the problem persists: try another browser, or email info@plenivo.nl with a screenshot.
Check your internet connection — Plenivo saves changes straight to the database and shows a red bar as soon as the connection drops. Once it’s back, the page reloads automatically. Quote drafts stay saved locally, even without a connection.
After 8 hours of inactivity Plenivo logs you out automatically for the safety of your account — you get a warning 5 minutes ahead. If it happens more often or faster, email info@plenivo.nl.
Mail naar info@plenivo.nl — you’ll get a reply within one working day. Mention your company name and a short description; a screenshot helps enormously. Ideas for new features are welcome too: much of what you see in the Release Notes started as a customer request.
